
Phone Usage Policies
The Do's and Don'ts

Voicemail and Other Messages
All ThinkSpace Therapy employees should check their voicemail and other messages at least one time per day.
If you have a lot of voicemail messages, you may need to check them more frequently.
It is important to check all your messages regularly so that you do not miss any important messages.
Furthermore, all voice, text, or email communications with clients must be notated in the client’s EHR.
Any messages for employees must be notated in the correct format. Don’t let anyone miss any important messages!

Focus.
Please don't use your phone for personal stuff at work.
Focus on your work instead.

Silence, Please.
If you're in session or in a meeting, put your phone on silent or turn it off. Don't put your phone on vibrate because that is disturbing in session, as well.
We don't want to be interrupted.

Keep it Charged.
Make sure your work phone is charged so you can use it for work- related tasks.
By the way, keep your computer or other devices charged, too!

Keep it Close.
Don't leave your phone lying around where people can take it or see confidential information that may be on your phone.

You Are a Professional.
Always answer the phone in a professional, compassionate, uplifting voice. Speak at a regular pace, don't sound too rushed, and don't sound like you are asleep!

Texting with Clients
DO NOT text message with clients on your phone. The client portal messaging system is used for this. Your phone is not HIPAA compliant.

Primary Company Phone
Voicemail Script:
“Hi, you’ve reached the main office of ThinkSpace Therapy. If you’re calling during business hours, please leave a message after the beep and we’ll get back to you as soon as possible. If you’re calling after hours, please leave a message and we will return your call the as quickly as we can. If this is an emergency, please call 9-1-1 or contact the local crisis line at 9-8-8. You may also text the crisis text line at 741741. Thank you for calling.”

Company Issued Phones
Voicemail Script:
“Hi, you’ve reached (insert name), therapist at ThinkSpace Therapy. If you are having an immediate psychiatric emergency, please hang up and dial 911. If you need non-emergency assistance, please leave a message and I will reach back out to you as soon as I can. If you would like to our receptionist, please call, 940.577.1848. Thank you for calling."

Associates and Students
Remember, if you are an Associate or Student under supervision, you MUST follow this template:
"Hi, My name is Susie Q under the supervision of Jeri Kay Kao, LPC-Supervisor"
and then complete the voicemail using the appropriate script.
